The Belgian Cheerleading Federation attaches great importance to your privacy and the protection of your personal data.

In this privacy statement we want to give clear and transparent information about how we handle personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care. The Belgian Cheerleading Federation adheres in all cases to the applicable laws and regulations, including the General Data Protection Regulation (also known as GDPR, Regulation 2016/679).

This entails that we will in any case:

  • process your personal data in accordance with the purpose for which it was provided, these purposes and types of personal data are described in this Privacy Statement;
  • limit the processing of your personal data to only those data that are necessary for the purposes for which they are processed;
  • ask for your explicit permission if we need it for processing your personal data;
  • have taken appropriate technical and organizational measures to ensure the security of your personal data;
  • do not pass on personal data to other parties, unless this is necessary for carrying out the purposes for which they were provided;
  • are aware of your rights as a person concerned about your personal data, want to make you aware of this and want to respect these.

This privacy statement applies to all our current and former members, participants in competitions, persons who show or showed interest in our activities, services or products, customers and prospects, suppliers.

1 Why do we process your personal data?

Your personal data are processed by Belgian Cheerleading Federation for the following purposes and legal grounds:

  • Volunteering for events or facilitating the operation of the Belgian Cheerleading Federationg v.z.w (legitimate interest)
  • Sending information about our activities, newsletters and invitations (legitimate interest)
  • Organizing competitions
    • Sports administration (legitimate interest)
    • Organizing a sporting event (contractual ground)
  • Promotion, PR and communication including
    • Managing social media by publishing mood photos (legitimate interest)
    • Managing social media through the publication of targeted photos (permission)
    • Managing the website (legitimate interest)

2 What data do we process?

We may request, store, collect and process the following personal data from you for the following purposes:

  • -dentification data: name, first name
  • Private contact data: phone number, e-mail, address
  • Identity data issued by authorities: identity card number, international passport number (if required for registration in international competitions)
  • Personal characteristics: gender, date of birth, place of birth, nationality
  • Financial details (including payments, account number,…)
  • Education and training
  • Sporting data (including category, results, )
  • Visual material (photos, videos, recordings, …)

We only collect personal data that you yourself communicate to us in various ways (e.g. registration forms, completion and contact forms on our website, personal/telephone/email contact, …). We do not collect personal data through third parties, with the exception of information received from member associations/clubs or federations.

No category of persons is subjected to any form of automated decision-making or profiling.

3 Provision of data to third parties

In addition to the cooperation with third parties listed below, we will not disclose the data provided to other third parties unless required and/or permitted by law, such as e.g. in the context of a police or judicial investigation.

At no time do we sell or rent your personal data to third parties.

We also never pass on your contact details to third parties for commercial purposes.

We share personal data with third parties if you give us permission to do so. This consent may be withdrawn at any time, without prejudice to the lawfulness of the processing before its withdrawal.

3.1 Processors

We may provide the data that you provide to us to third parties if this is necessary for carrying out the purposes described above.

For example, we use a third party (processor) for:

  • providing the internet environment (web hosting, mail hosting);
  • providing IT infrastructure (including IT network, servers, etc.);

We do not transfer personal data to processors (external service providers) other than those with whom we have a processor agreement (via contract or custom terms of use).

We make the necessary agreements with these parties to ensure the security confidentiality of your personal data.

3.2 Recipients

We share personal data with the following external parties:

  • ECU= European Cheerleading Union (ECL competition)
  • CSN= Cheersport Netherlands

With these parties (third-party recipients) we make the necessary agreements to ensure the security confidentiality of your personal data.

4 Minors

We only process personal data of persons under 18 years of age if consent has been given by the parent or legal representative.

The following data of the parents may be processed: identification data and private contact data (for parental consent).

5 Retention period

Belgian Cheerleading Federation does not keep personal data longer than necessary to realize the purpose for which they are provided, taking into account the period necessary to meet the legal requirements (e.g. in the field of accounting).

Belgian Cheerleading Federation commits to keep the data no longer than a maximum of 5 years after last use (or termination of the cooperation).

6 Security of the data

Following appropriate technical and organizational measures have been taken to protect personal data against unlawful processing:

  • All persons who may learn of your data on behalf of Belgian Cheerleading Federation are bound to secrecy.
  • We use a username and password policy on all our systems;
  • We pseudonymize and ensure the encryption of personal data when warranted;
  • We systematically make backups of personal data in order to restore it in case of physical or technical incidents;
  • We regularly test and evaluate our measures and adjust if necessary;
  • Our employees are informed about the importance of protecting personal data. These employees are granted access to your data to the extent they need that information to properly perform their duties.

7 Your rights regarding your data

  • You have the right to access and copy personal data relating to you.
  • You have the right to rectification and completion if your data is incorrect or incomplete.
  • You have the right to the deletion of personal data received from you that is no longer strictly necessary for the purposes for which it was processed. However, we reserve the right to determine whether your request is justified.
  • You have the right to restriction of data processing: if you object to the processing of your personal data, you have the right to object to the processing of your personal data.
  • You can also object to the way in which your personal data are processed. You have the right to object to the use of your personal data for direct marketing purposes (via unsubscribe options in e-mails).
  • You also have the right to have us transfer the data you provide to yourself or on your behalf directly to another party.
